How to invite a junior through their guardian, use the junior register, record consents, manage multiple guardians, and promote a junior to an adult account at 18.

Enrolling and managing juniors

This article covers the full lifecycle of a junior member on Badminton Clubhouse: from the initial guardian invitation through consent recording, day-to-day register management, and eventual promotion to an adult account.

Your club must have its safeguarding posture set to Mixed or Juniors only before any of the steps below are available. See Setting up your junior club if you have not done this yet.

How juniors join: the guardian invitation

Juniors do not create their own accounts and do not log in to the platform. Instead, you invite a junior by contacting their guardian:

  1. Go to Admin > Invitations and select Add a junior.
  2. Enter the guardian's email address (the parent or carer who will accept on the junior's behalf).
  3. Enter the junior's full name and date of birth.
  4. Send the invitation.

The guardian receives an email with a link to the acceptance journey. During acceptance, they review and agree to the three required consent items (Photography and media, Participation in activities, and Emergency medical treatment) on behalf of the child.

Once the guardian accepts, the junior appears in your member list and on the Juniors register. They start with a status of Pending.

The junior register

The junior register is at Admin > Juniors (visible only when your posture is Mixed or Juniors only). It is committee-only: no junior appears on any public page or member-facing directory.

Each row in the register shows:

  • Name and calculated age (from date of birth)
  • Guardian(s) linked to this junior
  • Consent status - one chip per required consent, shown as Recorded (green) or Needed (amber)
  • Membership status - Pending or Active

Recording consents

A junior moves from Pending to Active once all required consents are recorded. Consents are recorded in one of two ways:

  1. Guardian acceptance - the guardian agrees to the consent items during the online acceptance journey. These are recorded automatically.
  2. Committee recording - for consents the guardian gives in person or on a paper form. The committee records these manually.

To record a consent manually:

  1. On the junior's row in the register, select Record consent.
  2. Choose the outstanding consent from the list.
  3. Confirm. The chip flips from Needed to Recorded.

When the last outstanding consent is recorded, the junior's status automatically changes from Pending to Active. You will see a confirmation message.

Guardians and multiple guardians

Each junior is linked to one or more guardians. A guardian:

  • Accepts invitations and consents on the junior's behalf
  • Can be contacted for session coordination (for example, collection at sign-out)
  • Acts as the junior's representative for all platform communications

A junior can have more than one guardian (for example, both parents). Additional guardians can be linked through the junior's member record. All linked guardians can act on the junior's behalf.

Guardians are not club members in their own right unless they also hold an adult membership.

Photography and media is one of the three required consents. Once recorded, it grants permission for the club to photograph or film the junior at club activities in line with your club's media policy. If a guardian later withdraws this consent, the committee can update the record accordingly.

Promoting a junior to an adult account at 18

When a junior member turns 18, they can be promoted to their own adult account. The promotion:

  • Creates a personal login for the former junior
  • Transfers their member record (history, consents, etc.) to the new account
  • Lapses any junior membership tier they held
  • Removes the guardian link

The committee initiates the promotion from the junior's member record. The former junior then receives an email invitation to set up their own login.
