Responding to an Invitation

If a club has invited you to join, you'll receive an email with a personal link. The same invitation also shows up at the top of your My Clubs page once you're signed in. This guide walks through what happens when you respond.

What the Respond Page Shows

The respond page (/invitations/[token]) is themed in the club's identity, logo, name, and colours, so you know exactly who's inviting you. You'll see:

  • Who invited you: the committee member's name (when available)
  • The membership offered: name and duration, or "One-off visit" if the club has invited you for a single session rather than full membership
  • Expiry date: pending invitations expire 30 days after they're sent
  • Personal note: if the inviter typed one, it appears as a quoted note
  • About the club: a summary of the club: description, nights they play, levels welcomed, juniors welcomed, coaching, fees, location
  • Your response: a GDPR consent checkbox and the Accept / Decline controls

There's a View full club details → link to the public club page if you want to read more before deciding.

Getting There

  • From the invitation email, tap the action button (labelled View invitation, or Enrol a child when a club has invited a junior). It opens the invitation directly. If you don't have an account yet, you'll be asked to sign in or create a free one first.
  • From inside the app, go to My clubs (/me/clubs). Pending invitations appear at the top of the grid with an amber Invitation pill; tap Respond.

If You Don't Have an Account Yet

If you're not signed in, the page asks you to sign up or log in. Use the same email address the invitation was sent to. After authenticating, you'll be returned to the invitation automatically and the full respond page will load.

If You're Signed In as a Different Person

If you're logged in as a different account, the page tells you the invitation was sent to a different address (masked, e.g. p**@example.com) and offers a Sign in with another account button. Sign out from the user menu, then sign back in with the email the invitation was sent to.

Profile Completion

If your profile is missing essential details (your name, date of birth, emergency contact, or, for guardians, a child's basic profile), the system pauses and walks you through a short Complete your profile flow before completing the membership. Once you're done, the platform automatically finishes accepting and lands you in the new club.

Accepting

  1. Tick the Data processing consent checkbox.
  2. Click Accept invitation.
  3. Accepting submits a membership application to the club. You're taken to My clubs (/me/clubs), where the club's card shows Awaiting decision, and you receive a receipt email.
  4. The club's committee confirms your application, usually a quick formality since they invited you. You'll get an email when you're added as a member, and the card switches to your active membership.

Note: if the invitation was sent in response to an application you'd already submitted through the club's apply form, there's no second review: your membership starts the moment you accept.

Declining

The decline option is the small Decline invitation text link beside the Accept button. Tap it to record a decline; the invitation moves to the Past section of My clubs and the committee sees it as declined on their invitations page.

You can change your mind later by asking the club to send a fresh invitation.

Junior Invitations

If a club has invited a junior, the invitation email is sent to you as the guardian. When you open the link:

  1. Sign in (or create an account) with the email the invitation was sent to.
  2. You reach a child-selection step: pick an existing child linked to your account, or add a new child (name, date of birth, and your relationship to them).
  3. Tick the required consents on behalf of the child.
  4. Confirm. A membership application is submitted for each child you selected, and the committee approves each one to complete enrolment. You're taken to your Juniors page (/me/juniors) where you can finish any outstanding consents while you wait.

If you have more than one child, you can enrol siblings in the same step. Once approved, the child starts with a status of Pending until all required consents are recorded, after which the club activates them. See Managing Your Juniors for more on the guardian relationship.

Visitor Invitations

Some clubs send a one-off Visitor invitation rather than a full membership invite, for example, to come along to a try-out night. The respond page calls this out explicitly in the eyebrow ("Visitor invitation") and the meta line ("One-off visit · not a membership commitment"), so you know what you're agreeing to.

Expired or Revoked Invitations

Two things can happen to an invitation before you respond:

  • Expired: pending invitations expire 30 days after they're sent
  • Revoked: the club withdrew the invitation

In either case, the respond page shows the status and a Back to my clubs button. If you still want to join, contact the club and ask them to send a fresh invitation, or apply directly from the club's public page.
