Memberships

Memberships define the different tiers of membership your club offers. Each membership can have different pricing, durations, and benefits.

Accessing Memberships

Navigate to Admin > Settings > Memberships. Only administrators can manage memberships.

Understanding Memberships

Memberships typically represent:

  • Different levels of access (Full, Social, etc.)
  • Age-based categories (Adult, Junior, Student)
  • Payment structures (Annual, Monthly)
  • Special categories (Family, Honorary)

Default Memberships

Badminton Clubhouse provides common starting memberships:

  • Full Member - Standard adult membership
  • Junior Member - Under-18 membership
  • Social Member - Non-playing membership

You can edit these or create your own.

Creating a Membership

Step 1: Basic Information

  1. Click "Add Membership"
  2. Enter the details:
- Name - Clear, descriptive name (e.g., "Full Adult Annual")

- Description - Brief explanation of what's included

Step 2: Pricing

Configure the cost:

  • Price - The membership fee (enter 0 for free memberships)
  • Currency - Defaults to your club's currency

Step 3: Duration Type

Choose how the membership works:

| Rolling (monthly) | Continues monthly until cancelled | No expiry — ongoing |

| Pay as you go | Pay per session, no fixed commitment | No expiry — ongoing |

For fixed term memberships, also set the duration in months:

Examples:
  • 12 months = Annual membership
  • 3 months = Quarterly membership
  • 1 month = Monthly trial
Note: When activating a member with a Rolling or Pay-as-you-go membership, you only need to set a start date — no expiry date is required.

Step 4: Additional Settings

  • Display Order - Where it appears in lists (lower numbers first)
  • Active - Whether new members can select this membership
  • Visible on Application - Show on the public application form

Step 5: Save

Click "Create Membership" to add it to your club.

Editing Memberships

  1. Find the membership in your list
  2. Click the edit button
  3. Update the details
  4. Save changes
Important: Changes affect new memberships only. Existing members keep their current terms until renewal.

Archiving Memberships

When a membership is no longer needed:

  1. Click the archive button
  2. Confirm the archive action
What archiving does:
  • Hides from new member selection
  • Removes from application form
  • Preserves existing member records
  • Maintains historical data
Archived memberships can be:
  • Viewed in the archived list
  • Restored if needed later
  • Used for historical reporting

Assigning Memberships

Members get their membership assigned:

  1. During application - Applicant selects on the form
  2. On approval - Committee assigns when approving
  3. Manual assignment - Admin edits member profile
  4. During import - Mapped from CSV column

Changing a Member's Membership

  1. Go to the member's profile
  2. Click "Edit Membership"
  3. Select the new membership
  4. Optionally update expiry date
  5. Save changes

Consider whether the member should be:

  • Prorated (pay difference)
  • Refunded (if downgrading)
  • Starting fresh (new duration)

Best Practices

Naming Conventions

  • Be descriptive: "Adult Annual" not just "Standard"
  • Include key differentiator in name
  • Keep names consistent with printed materials

Pricing Strategy

  • Research comparable clubs in your area
  • Consider early bird or renewal discounts
  • Factor in Badminton England affiliation costs

Managing Changes

  • Announce price changes in advance
  • Grandfather existing members if possible
  • Document reasons for changes in notes

Keeping Memberships Organized

  • Archive obsolete memberships rather than deleting
  • Use display order to prioritize common memberships
  • Review annually for relevance

Reporting on Memberships

Generate reports showing:

  • Members by membership (pie chart)
  • Revenue by membership
  • Membership popularity over time
  • Renewal rates by membership

Use this data to:

  • Understand your membership mix
  • Plan pricing changes
  • Target renewal communications

Common Issues

"Membership not showing on application form"

  • Check "Visible on Application" is enabled
  • Verify the membership is not archived
  • Ensure the membership is marked as Active

"Can't delete membership"

  • Memberships with current members cannot be deleted
  • Archive instead of delete
  • Reassign members first if deletion is essential

"Price change not reflected"

  • Changes only affect new memberships
  • Existing members keep their current terms
  • Use manual edit to change individual members
