Learn how to view club events, filter by your teams, and understand event visibility
Using the Club Calendar
The club calendar shows all events you have access to view, including club sessions, matches, training sessions, social events, and meetings.
Accessing the Calendar
Navigate to Calendar from the sidebar or use the quick link on your dashboard to access the calendar.
Calendar Overview
The calendar displays events in a monthly grid view. Each day shows events with their time and title, colour-coded by event type.
Navigation
- Previous/Next Month: Use the arrow buttons to navigate between months
- Today: Click the "Today" button to quickly return to the current month
- Click an Event: Click on any event to view its full details
Understanding Event Colours
Events are colour-coded based on their type:

| Yellow/Orange | Social |
| Purple | Meeting |
Your club may have additional event types with different colours.
Event Types Filter
Use the event type badges above the calendar to filter what you see:
- Click on an event type (e.g., "Club Session") to show only those events
- Click on multiple types to show several categories
- Click "Clear" to remove all filters and show all events
My Teams Filter
If you're assigned to teams, you'll see a "My Teams" section above the calendar showing which teams you're on.
Using the My Teams Filter
- Toggle "Show my team events only" to filter the calendar
- When enabled, the calendar will highlight events relevant to your teams
- Turn it off to see all club events you have access to
Note: This filter is most useful during busy periods when there are many fixtures scheduled.
Viewing Event Details
Click on any event to see its full details:
- Title: The name of the event
- Event Type: Category (shown as a coloured badge)
- Date and Time: When the event takes place
- Duration: How long the event lasts
- Venue: Where the event is held — this varies depending on the event type:
- Online — a "Join meeting" link you can click to open the meeting URL (e.g., Zoom or Google Meet)
- Manual Venue — a one-off venue name, address, and what3words link for locations not in the club's regular list
- No Venue — some events don't have a location
- what3words — if the venue has a what3words location set, you'll see a clickable link to help you find the exact entrance or car park
- Description: Additional information about the event (if provided)
Joining and Leaving Events (RSVP)
Members can join events directly from the event details dialog:
- Click on an event in the calendar to open its details
- Click the Join button to add yourself as an attendee
- The event shows an attendee count (e.g., "3 attending" or "3/10 attending" when a maximum capacity has been set)
- If the event is full, the Join button displays "Event Full" and is disabled
- Click Leave to remove yourself from an event you previously joined
- Expand the attendee list to see who else is attending
Note: For recurring events, joining automatically creates a concrete event record for that specific occurrence.
Subscribing to the Calendar
You can subscribe to the club calendar from an external calendar app such as Google Calendar, Apple Calendar, or Outlook so that events automatically stay up to date.
How to Subscribe
- Click the Subscribe button next to the "Today" button in the calendar header
- Click Generate Calendar URL to create a personal subscription link
- Click Copy to copy the URL to your clipboard
- Open your calendar app and add a new calendar subscription using the copied URL
The subscription keeps your external calendar in sync — new events, changes, and cancellations are reflected automatically.
Regenerating the URL
If you need a new URL (for example, if you shared it by mistake), click Regenerate. This invalidates the previous URL, so you will need to update the subscription in your calendar app.
Cancelled Events
Events that have been cancelled show with:
- A strikethrough on the title
- A red "Cancelled" badge
- The cancellation reason (if provided)
Cancelled events remain visible so you know they were scheduled but won't be happening.
Recurring Events
Some events repeat regularly (e.g., weekly club sessions). These are marked with a recurring indicator in the event details.
Event Visibility
Not all events are visible to all members. Your club committee controls who can see which events using a tag-based visibility system.
What You Can See
You will see:
- Public events: Events visible to all club members (no restrictions)
- Tagged events: Events specifically shared with members who have matching tags
Why Can't I See an Event?
If another member mentions an event you can't see, it may be:
- Restricted to specific groups (e.g., committee members, certain teams)
- Tagged for a membership you don't have
Contact your club committee if you believe you should have access to an event.
Match Events
Match events show additional details:
- Home/Away indicator
- Opposition team name
- For away matches, the opposition's venue address and what3words location (if provided) so you can find your way there
Tips for Using the Calendar
- Check regularly: Events can be added or changed at any time
- Use filters: If the calendar looks busy, filter by event type or your teams
- Note the venue: Some events may be at different locations — check for what3words links for precise directions
- Check for cancellations: Always verify events haven't been cancelled before travelling
- Online events: Look for the "Join meeting" link in the event details to join virtual events
Mobile Use
The calendar is fully responsive and works on mobile devices:
- Swipe or use the navigation buttons to change months
- Tap on events to see details
- The filter controls stack vertically on smaller screens
Troubleshooting
Events not showing
- Check your event type filters - you may have filtered out certain types
- Verify the event date is within the visible month
- The event may be restricted to other members
Can't find a specific event
- Try clearing all filters
- Navigate to the correct month
- Contact your club committee if you believe you should see the event
Calendar loading slowly
- Check your internet connection
- Try refreshing the page
- On mobile, ensure you have a stable connection
