Understanding Your Membership Status
Your membership status determines what features you can access within the club portal. This guide explains each status and what it means for you.
Membership Statuses
Pending
Your membership is pending when:
- Your application has been approved
- The committee has not yet activated your membership
- Access your dashboard (limited view)
- Edit your profile
- View the Help Centre
Complete your profile while waiting for the committee to activate your membership. Having a complete profile helps the club manage your membership and ensures they can contact you in emergencies.
Active
An active membership means you have full access to all club features:
- View the member directory
- Read and receive announcements
- View and join teams
- Access club resources
- View the calendar
- See your stats and performance data
This is the normal status for members in good standing.
Expiring
Your membership is expiring when your renewal date is approaching (within 30 days). You will:
- See a renewal reminder on your dashboard
- Still have full access to all features
- Receive email reminders about renewal
Contact the committee to arrange membership renewal before your expiry date.
Lapsed
A lapsed membership means your membership has expired. You will have:
- View-only access to most features
- No access to the member directory
- No ability to join teams or participate in activities
Contact the committee to renew your membership and regain full access.

Completing Your Profile
While waiting for your membership to be activated, make sure to complete your profile. This helps the club:
- Contact you about club activities
- Reach your emergency contact if needed
- Manage your team assignments correctly
Required Information
Personal Details:- Phone number
- Date of birth
- Gender
- Address line 1
- City
- Postcode
- Emergency contact name
- Emergency contact phone
- Relationship to you
How to Complete
- Go to your Profile page
- Click Edit
- Fill in all fields marked as required
- Click Save
Note: Completing your profile is important but does not automatically activate your membership. The committee will activate your membership once they have processed your application and received any required fees.
How Your Status Changes

Automatic Status Transitions
The system automatically checks your membership expiry date when you log in:
- Active → Expiring: If your membership expires within 30 days, your status changes to "Expiring"
- Expiring → Lapsed: If your expiry date has passed, your status changes to "Lapsed"
You will receive an email notification the first time your status changes. These emails are sent once per transition, not on every login.
Note: If you do not log in regularly, your status may not update immediately. The change will occur the next time you access the portal.
Renewing Your Membership
If your membership is expiring or has lapsed:
- Check your dashboard for the renewal banner
- Contact the committee using the provided email link
- Arrange payment (if applicable)
- The committee will update your membership dates
- Your status will return to Active
Checking Your Status
Your current membership status is always visible:
- On your dashboard in the Membership card
- The sidebar shows restricted navigation items with a lock icon
- Banners appear for pending profile completion or renewal
Troubleshooting
My status is still pending
The committee needs to activate your membership. This usually happens after:
- Your application has been reviewed
- Any required membership fees have been received
- Contact the committee if you have been waiting for an extended period
I renewed but still show as lapsed
The committee needs to update your membership dates in the system. Contact them to confirm your renewal has been processed.
I cannot access certain features
Check your membership status. Features like the directory, teams, calendar, and announcements require an active or expiring membership. If your status shows as pending, contact the committee to have your membership activated. If lapsed, arrange to renew your membership.
Important: Access to features is based on your membership status, not on whether your profile is complete. Even with a complete profile, you need the committee to activate your membership before you can access all club features.
