Using the Club Calendar
Learn how to view club events, filter by your teams, and understand event visibility
Using the Club Calendar
The calendar at /me/calendar shows all upcoming events from every club you belong to, club sessions, fixtures, training sessions, social events, and meetings, in a single roll-up view.
Accessing the Calendar
Navigate to Calendar from the player sidebar at /me. By default you see events from every club you belong to. Use the club filter chip in the header to narrow to a single club's events.
Calendar Overview
The calendar displays events in a monthly grid view. Each day shows events with their time and title, colour-coded by event type.
Navigation
- Previous/Next Month: Use the arrow buttons to navigate between months
- Today: Click the "Today" button to quickly return to the current month
- Click an Event: Click on any event to open its dedicated event page, every event has its own shareable URL (e.g.
/[your-club]/events/[event-id])
Understanding Event Colours
Events are colour-coded based on their type:
| Colour | Event Type |
|---|---|
| Red | Fixture |
| Blue | Club Session |
| Green | Training |
| Yellow/Orange | Social |
| Purple | Meeting |
Your club may have additional event types with different colours.
Event Types Filter
Use the event type badges above the calendar to filter what you see:
- Click on an event type (e.g., "Club Session") to show only those events
- Click on multiple types to show several categories
- Click "Clear" to remove all filters and show all events
My Teams Filter
If you're assigned to teams, you'll see a "My Teams" section above the calendar showing which teams you're on.
Using the My Teams Filter
- Toggle "Show my team events only" to filter the calendar
- When enabled, the calendar will highlight events relevant to your teams
- Turn it off to see all club events you have access to
Note: This filter is most useful during busy periods when there are many fixtures scheduled.
Viewing Event Details
Click on any event to open its full-page event details. Each event has its own URL (for example /[your-club]/events/[event-id]), which means you can:
- Bookmark an event you want to come back to
- Share the link directly with another member (they'll need to be signed in and have access)
- Use your browser's back button to return to the calendar after viewing
You can also reach an event straight from the dashboard, the "Next up" hero and "This week" list both deep-link to the relevant event page.
The event page shows everything you need:
- Title: The name of the event
- Event Type: Category (shown as a coloured badge)
- Date and Time: When the event takes place
- Duration: How long the event lasts
- Venue: Where the event is held, this varies depending on the event type:
- Club Venue: venue name and full address from the club's saved venues
- Online: a "Join meeting" link you can click to open the meeting URL (e.g., Zoom or Google Meet)
- Manual Venue: a one-off venue name, address, and what3words link for locations not in the club's regular list
- No Venue: some events don't have a location
- what3words: if the venue has a what3words location set, you'll see a clickable link to help you find the exact entrance or car park
- Host: If the event has a host set, their name appears here, this is the person running the session. Handy to know who to ask for if you're new to the club or turning up for the first time.
- Description: Additional information about the event (if provided)
Invitations and Cancellations
When the committee invites you to an event, or cancels one you were attending or invited to, you get notified two ways:
- Email: with the event details and a link
- Push notification on any device where you've enabled push, tap the chip to jump straight to the event in your calendar
You can toggle either channel on or off per category in Profile → Notifications. Invitation emails can also be turned off if they get noisy and you prefer push only.
Attending and Leaving Events (RSVP)
Members can RSVP to events directly from the event page:
- Click on an event in the calendar (or from your dashboard) to open its page
- Find the You row in the attendance section and click Attend to add yourself as an attendee
- The event shows an attendee count (e.g., "3 attending" or "3/10 attending" when a maximum capacity has been set)
- If the event is full, the Attend button displays "Event full" and is disabled
- Click Leave to remove yourself from an event you said you'd attend
- Expand the attendee list to see who else is attending
Note: For recurring events, RSVPing automatically creates a concrete event record for that specific occurrence.
Guardians: Events at a child's club show on your calendar too, when they're open to anyone or the child is invited to, eligible for, or already on them (restricted events you have no part in don't appear). Tapping one opens the event page, where a Respond for your juniors section lets you accept an invitation or RSVP to an open event for each junior you look after, even if you're not a member of that club yourself. If you're a member as well, your own You row sits above it, so your RSVP and your juniors' are kept clearly apart. See Responding to and RSVPing to Events for a Child.
Seeing Which Events You're Going To
Events you've confirmed stand out from the rest of the calendar, so you can tell at a glance which sessions you're actually attending rather than just what's on:
- Going marker: an event you're attending (accepted RSVP, a booked place, or a friendly you host or are confirmed on) shows a checkmark on its calendar tile, and a green Going badge in the list view. For guardians, the badge names who's going: Going (Millie) for a child, or Going (You + Millie) when you're both attending.
- Person filter: pills next to the source filters scope the calendar to one person: Everyone (the default), Me (only events you're attending or invited to), and, for guardians, one pill per junior named with their display name. Handy in a busy month when you only care about one schedule.
- Next up on your home page: your
/mehome shows a Next up card with the next few events you (or your juniors) are confirmed for, so you don't need to open the calendar at all. It links straight to each event and to the filtered calendar.
A waitlisted booking or an unanswered invitation doesn't count as going, those keep their existing pending treatment until confirmed.
Event Fees
The event page shows whether you'll be charged when you join, based on your membership:
- "You'll pay £X, Event fee (pay-as-you-go members)": you're on a PAYG membership and the event charges PAYG members
- "You'll pay £X, Event fee (everyone pays)": the event charges every member (e.g. fixtures, paid coaching)
- "Free for you. PAYG members pay £X.": the event only charges PAYG members, and you're on a subscription so your membership covers it
- No fee section at all, the event is free for everyone (meetings, free socials)
When a fee applies, joining creates a payment request automatically and an email is sent to you with the club's bank details.
Event Team and Volunteering for Roles
Some events have a team behind them, hosts, first aiders, helpers, or other roles the committee sets up for that event. Where a team exists, you'll see it on the event page below the attendance section.
Who's Running This Event
If anyone is confirmed for a role (Host, Coach, First Aider, etc.), you'll see their name and role listed under Who's running this event. Only names and roles are shown, no contact details.
Help Needed
If the committee has left any roles open, you'll see a Help needed section listing each open role, with a short note about what's involved. Some roles need a verified DBS check or safeguarding training, in that case a note says so, this is a heads-up, not a barrier to applying.
To offer to fill an open role:
- Select I'll help on the role you want.
- Your offer shows as Offered, awaiting confirmation while the committee reviews it.
- Change your mind before they respond? Select Withdraw to release the role back to open.
The committee confirms or declines your offer; you'll be notified either way. You need to be a member of the club to volunteer for a role, if you're not yet a member the button is disabled.
Taking the Register as a Team Member
Once you're confirmed on an event's team, a Take the register button appears in the "Who's running this event" card. It opens the event's attendance register so you can check people in at the door, no committee role needed. Tap an unmarked name to record them as present; tap a marked name to change their status.
Subscribing to the Calendar
You can subscribe to the club calendar from an external calendar app such as Google Calendar, Apple Calendar, or Outlook so that events automatically stay up to date.
How to Subscribe
- Click the Subscribe button next to the "Today" button in the calendar header
- Click Generate Calendar URL to create a personal subscription link
- Click Copy to copy the URL to your clipboard
- Open your calendar app and add a new calendar subscription using the copied URL
The subscription keeps your external calendar in sync, new events, changes, and cancellations are reflected automatically.
Regenerating the URL
If you need a new URL (for example, if you shared it by mistake), click Regenerate. This invalidates the previous URL, so you will need to update the subscription in your calendar app.
Cancelled Events
Events that have been cancelled show with:
- A strikethrough on the title
- A red "Cancelled" badge
- The cancellation reason (if provided)
Cancelled events remain visible so you know they were scheduled but won't be happening.
Recurring Events
Some events repeat regularly (e.g., weekly club sessions). These are marked with a recurring indicator in the event details.
Event Visibility
Not all events are visible to all members. Your club committee controls who can see which events using a tag-based visibility system.
What You Can See
You will see:
- Public events: Events visible to all club members (no restrictions)
- Tagged events: Events specifically shared with members who have matching tags
Why Can't I See an Event?
If another member mentions an event you can't see, it may be:
- Restricted to specific groups (e.g., committee members, certain teams)
- Tagged for a membership you don't have
Contact your club committee if you believe you should have access to an event.
Fixture Events
Fixture events show additional details:
- Home/Away indicator
- Opposition team name
- For away fixtures, the opposition's venue address and what3words location (if provided) so you can find your way there
Tips for Using the Calendar
- Check regularly: Events can be added or changed at any time
- Use filters: If the calendar looks busy, filter by event type or your teams
- Note the venue: Some events may be at different locations, check for what3words links for precise directions
- Check for cancellations: Always verify events haven't been cancelled before travelling
- Online events: Look for the "Join meeting" link in the event details to join virtual events
Mobile Use
The calendar is fully responsive and works on mobile devices:
- Swipe or use the navigation buttons to change months
- Tap on events to see details
- The filter controls stack vertically on smaller screens
Troubleshooting
